Location: Birmingham, Alabama
Full-time/Part-time: This is a full-time (40 hours per week) position.

Reporting to the Director of Operations this position is responsible for assisting in the activities of Safety First Operations. The successful candidate will be responsible for client onboarding, managing communications, processing test results, and ensuring timely, accurate reporting while maintaining compliance with regulations, this is your chance to be part of something meaningful and transformative. What you will do:
Reporting to the Director of Operations this position is responsible for assisting in the activities of Safety First Operations. The successful candidate will be responsible for client onboarding, managing communications, processing test results, and ensuring timely, accurate reporting while maintaining compliance with regulations, this is your chance to be part of something meaningful and transformative. The position also includes administrative duties such as document management, data tracking, coordination with stakeholders, and assisting with reports, audits, and training.
Responsibilities:
- Assist in the onboarding of new clients, including communication with laboratories, collection sites, ordering supplies, and other related duties as directed.
- Sort and distribute incoming Safety First email. All client correspondence must receive a response within 2 hours. For premier clients, this window may be much shorter.
- Serve as back-up liaison with providers, clients, and Medical Review Officer.
- Ensure timely generation of random selections based on schedule determined by Safety First
- Reconcile unmatched random selections on timely basis.
- Maintain statistical information on regular basis to produce accurate DOT MIS reports.
- Immediately process MRO-reviewable results throughout the day.
- Process negative results and report to clients no less than once every 2 hours.
- Ensure prompt turnaround time of result delivery to clients. Negative results should be reported to the client within 24-48 hours of collection. Non-negative results should be reported within 48-72 hours of collection.
- Verify accuracy of information on results.
- Daily follow up and documentation on missing chain of custody forms, outstanding affidavits, or problem specimens.
- Index documents in the Document Management Systems (DMS) on a timely basis throughout the day.
- Assist in the communication of results with the Medical Review Officer.
- Maintain orderly and accurate files and reports on a timely basis and in compliance with Federal/State regulations.
- Assist in preparation of Annual Reports.
- Cooperate with other divisions in data processing functions, accuracy, audits, etc.
- Ensure timely and accurate performance of clerical duties. Train clerical personnel as requested.
- Perform other related duties and special projects as directed. Attend meetings as directed.
Qualifications/Skills:
- High School diploma
- Two years’ experience required in the medical field (toxicology laboratory, doctor's office, or hospital) – occupational drug and alcohol testing experience preferred
- Two years data entry/clerical experience
- Ability to multi-task and prioritize in a high-pressure, fast paced environment
- Proficiency in Microsoft Excel, Word, PowerPoint, and PDF software
- Accuracy and attention to detail
- Excellent organization and communication skills
- Ability to meet deadlines/handle interruptions
- Cooperative attitude and self-starter
- Ability to work with a minimum of supervision
